Case Study-SBL- KLA DMS (Document Management System)
Overview
This project was implemented for Kerala Legistaive Assembly, Trivandrum. It was one of its kinds in Kerala and the first one in India. The project implemented a portal for the client using PhP and MySQL server for an efficient search which need to be provided to search the Meta data stored in the Database, it is a web based application that is intended to facilitate the application users to search, view, and retrieve the KLA proceedings data over the web. The search is required in both English and Malayalam languages with the option of browsing through the documents; SBL was able to come out with a unique document management system for the client based on specific requirements.
Challenges Faced
- Data Migration, where the existing data base need to be migrated to new database without any errors or loss of data.
- Application should work seamlessly with database system to provide consistent and reliable data operations
- Ability to handle the growing list of documents without making any compromise on system performance.
- Search Management should be broadly defined to include every parameter it can comprise including the option to search in Malayalam.
- Understanding the requirements of the customer in the absence of a clear specifications document at the start of the project and deploying the solution at the customer location remotely.
Implementation
This portal application provides enterprise-wide access to digitalized documents maintained as records. Documentation of procedures was available to users based on their different formats. Version control of documentation was also available. Documents were available in Word, Excel and PDF formats, in addition to the user module function available to the public, an admin module is also provided with the functionality focuses on solution for the CRUD (Create, Retrieve, Update, and Delete) operations of the proceedings Meta data.
